Cobyte Digital Ltd is the data controller for personal data collected through this website.

What we collect, and why

When you use our contact form

We collect your name, email address, company name if you give one, and the content of your message. We also record the date and time of submission, the page you submitted from, your IP address, and the fact that you gave consent.

We use this to reply to you and to keep a record of the conversation. We do not sell it, and we do not use it for advertising.

Lawful basis: your consent, given by ticking the box on the form. You can withdraw it at any time by emailing us, and we will delete your enquiry.

Spam protection

Our contact form is protected by Cloudflare Turnstile, which checks that submissions come from a person rather than an automated script. Turnstile processes your IP address and limited browser information to make that assessment. It does not set cookies and does not track you across websites. See Cloudflare’s privacy policy.

Server logs

Like almost all websites, our hosting provider keeps access logs containing IP addresses, browser type and pages requested. These are used to keep the site running securely and are retained for a short period by the host.

Cookies and analytics

We use a cookie consent tool so you can choose which non-essential cookies to allow. Essential cookies, which keep the site working and are set only for logged-in administrators, do not require consent.

Where analytics or other non-essential cookies are used, they are set only after you have given consent through that tool, and you can change or withdraw your choice at any time using the cookie settings link on the site.

Who we share your data with

We do not sell your personal data. We share it only with service providers who help us operate, and only so far as they need it:

• Our web hosting provider, which stores the website and its logs.
• Our email provider, which delivers and stores enquiry emails.
• Cloudflare, for the Turnstile spam check described above.
• Our workflow and record-keeping tools, where an enquiry is logged so we can track and respond to it.

Some of these providers may process data outside the UK. Where that happens, transfers are covered by UK adequacy regulations or by standard contractual clauses with the UK addendum.

We may also disclose personal data where we are legally required to do so.

Marketing

We will not add you to a mailing list simply because you contacted us. If we ever offer a newsletter or similar, joining it is a separate, optional choice, and you can unsubscribe from any marketing message at any time using the link in it or by emailing us.

How long we keep it

We keep contact form enquiries and related correspondence for 24 months from your last contact with us, after which they are deleted. We keep them this long because business conversations often resume after a gap, and we want the earlier context when they do.

If you become a client, we keep records for as long as we work together and then for six years afterwards, which is the period we are required to keep business and accounting records.

Server logs are kept for a short period as set by our hosting provider. You can ask us to delete your data sooner at any time.

Your rights

Under UK data protection law you have the right to:

• ask what personal data we hold about you and receive a copy;
• have inaccurate data corrected;
• have your data deleted;
• restrict or object to how we use it;
• receive your data in a portable format;
• withdraw consent at any time, where we rely on consent.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the UK regulator, the Information Commissioner’s Office, at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we change how we handle personal data, we will update this page and change the date at the top. Please check it from time to time.
