Remove the repetitive work that is slowing your business down
Most operational bottlenecks are not a people problem. They are the same task being done by hand, over and over, by someone whose time is worth more than that. Cobyte finds those tasks, works out what they actually cost, and builds the automation that removes them — using the systems you already have.
Run by an operations leader who has spent a career in SaaS implementation, onboarding, support and service delivery. You get someone who understands the process before they touch the tooling.
Where we usually start
Welcome emails, account setup, document collection, chasing the things people forget to send, and the handover into delivery. Onboarding is where most service businesses lose days per client and never measure it.
The monthly pack that takes a day to assemble from four systems. Automated collection, automated assembly, and a person reviewing it before it reaches the client.
Routing tickets to the right queue, answering the questions that get asked forty times a month, and flagging the ones that genuinely need a human. Fewer tickets, faster first response, nobody guessing.
The paperwork that sits between winning work and getting paid. Generation, chasing, filing, and the status updates people ask for because they cannot see it themselves.
Research, drafting, formatting, scheduling and publishing — with a person approving before anything reaches a customer.
The spreadsheet that exists only because two tools will not integrate. The copy-paste between your CRM and your finance system. The re-keying nobody admits to.
How we work
1. Review. We map the process as it actually runs, not as the manual describes it. Where the time goes, where it breaks, what it costs you now.
2. Design. A written plan: what gets automated, what stays human, where the approval gates sit, and what happens when something fails. You see this before anything is built.
3. Build. On the tools you already pay for wherever possible. Small, testable pieces rather than one large system you cannot inspect.
4. Validate. Run in parallel with the manual process until it has earned trust. No switchovers on faith.
5. Hand over. Documentation, a walkthrough, and a clear picture of what to do when it misbehaves. You should not need us to keep it running.
The part most people skip
Anyone can connect two apps. The difference between an automation that survives contact with a real business and one that quietly breaks is what happens on a bad day. Every build we ship answers these questions before it goes live.
What happens when it fails? Not if — when. An API times out, a credential expires, a third party changes a field name. Failures should be visible and recoverable, not silent.
Where does a human approve? AI drafts and recommends. Deterministic rules commit anything that matters — publishing, paying, messaging a customer, changing a record.
Can you undo it? Anything that writes to a live system needs a way back.
Who finds out, and how fast? An automation nobody is monitoring is a liability, not an asset.
What happens to the data? Where it lives, who can see it, and how long you keep it.
Who this suits
Growing B2B service businesses and SaaS companies — typically 5 to 50 people — where the operational load has outgrown the team but not yet justified hiring. Particularly in professional services, fintech, or anywhere with a compliance obligation, where “it usually works” is not an acceptable standard.
Book an automation review
A short conversation about the process that is costing you the most. If there is an obvious automation, we will tell you. If there is not, we will tell you that too — it is a shorter conversation and it saves us both time.
