SWBW provides affordable fitness training across urban areas, for people of all ages and backgrounds. A small coaching team was fielding the same questions all day — class times, membership options, whether a session suits a complete beginner — while also capturing sign-ups, managing bookings and wanting to sell branded merchandise. Enquiries arrive at all hours; coaches are on the gym floor. Every question answered by hand during a session is a question not answered at all, and a sign-up form filled in at 10pm is worth nothing if nobody sees it until the morning.
We built the gym’s digital operation as one connected system rather than a website with extras bolted on. A responsive WordPress site carries the timetable, membership tiers through WooCommerce and secure online payments. A Shopify storefront handles branded merchandise, fulfilled through UK suppliers so delivery is quick and returns are simple.
Behind it, an automated workflow catches every sign-up the moment it is submitted. The form writes straight to the sign-up record — including the medical history and consent fields a gym has to capture properly — sends the new member a WhatsApp confirmation, and alerts the owner. Nobody re-keys details out of an inbox, and no enquiry sits unseen overnight.
A WhatsApp assistant answers the routine questions around the clock, helps prospects choose the right class and captures leads outside staffed hours. It handles the repeat questions so coaches can spend their time on the floor rather than on their phones.
